At Otakon, we're all about capturing the magic of different fandoms in vibrant, larger-than-life group photoshoots! Welcome to Cosplay Coordination, where we set the stage for epic gatherings of cosplayers, enthusiasts, and fans alike.

Our photoshoots aren't just gatherings; they're events carefully planned and officially supported, earning their rightful place on the convention schedule.

Whether you're a seasoned cosplayer or just eager to snap some shots, everyone is welcome to join in the excitement.

We are returning to the Gaming Hall (Hall D) this year!  Look for us through the front doors and along the wall to the left.

Rules for Everyone

  • Enjoyment is Key: Everyone is here to have a good time, be courteous to those around you.  Many people want to take pictures, or be in the photoshoots.  Be mindful of the space you take up.
  • Family-Friendly Atmosphere: All photoshoots are intended to be family-friendly environments.
  • Zero Tolerance for Harassment: Harassment of any form will not be tolerated. Remember, cosplay does not equal consent. Any perceived harassment will be addressed according to our policies outlined under Disruptive Behavior.
  • Props and Weapons Policy: The Otakon and WEWCC weapons and props policy applies to all photoshoots.
  • Compliance with Policies: All photoshoots must adhere to Otakon Policies, WEWCC policies, and instructions from staff members.
  • Non-compliance Policy: Failure to adhere to policies may result in rejection from the event.
  • Social Media and Consent: Everyone participating in Otakon Photoshoots understands their image can be used and shared online, and there is no expectation of being credited.
  • Personal Belongings: Otakon staff aren't responsible for watching belongings during shoots; attendees should keep an eye on their items or ask a friend for assistance.
  • Unofficial Photoshoots: If it is not on the schedule, it's not officially supported in any way.  You cannot use the photoshoot backdrops, you will not be in the schedule, and you won't have use of any equipment.

Coordinator Rules:

  • Scheduled Time Blocks: Photoshoots will be scheduled in 60-minute blocks, with 15 minutes allocated for wrapping up before the next shoot.
  • Consideration for Larger Shoots: Larger shoots may request a 2-hour block, subject to approval.
  • Regular Schedule Updates: The preliminary schedule will be updated once a week as requests come in.
  • Scheduling Conflicts: While we'll do our best to accommodate scheduling conflicts with main programming, there's no guarantee of a switch.
  • Limit on Fandom Shoots: There's a maximum of 3 photoshoots per fandom for the duration of Otakon.
  • Coordinator Responsibility: Coordinators are responsible for running their photoshoots; Otakon staff will secure the space and equipment not in use.
  • Outside Photoshoots: Photoshoots held outside the WEWCC must be coordinated by the cosplay community and won't be included on the official schedule.
  • Individual Requests: Each photoshoot request must be submitted individually.
  • Staff Permission Requirement: Staff members must obtain permission from their Department Head to run a photoshoot.
  • Non-compliance Policy: Failure to adhere to policies may result in rejection from the event.
  • Backup Coordinator: Coordinators should designate a backup in case they're unable to attend their photoshoot.
  • PA System Usage: Coordinators are required to use the provided PA systems; no exceptions.
  • Accessibility Considerations: Ensure that photoshoot locations are accessible to all attendees, including those with mobility challenges.  Staff are available to assist, just come and find us.

 

Cosplay Coordination Sign Ups

Open: May 18, 2024, midnight - June 16, 2024, midnight

This form is for Photoshoot coordinators to request an official time-slot and the use of one of our premier backdrops for a set duration. We will use the data gathered from this form to plan out and best place each of the requests to maximize the time and space we have. We will also use the information provided to contact you about any changes that may effect your Photoshoot.

Otakon also has a member of the community that will be helping with communication and coordination with the Cosplay community. The Cosplay Community Ambassador is the representative that consults any information if a coordinator or member does not feel appeased with speaking to the staff members.
