First, what exactly are these photoshoots? In short, they are open community gatherings where anyone attending Otakon can participate, whether stepping in front of the camera or capturing the moment behind it. To support these events, Cosplay Coordination prepares a dedicated space with large-scale backdrops and room to accommodate enthusiastic crowds. A host signs up to run the shoot, much like submitting a panel. After a thorough selection process, chosen hosts are scheduled to lead their fandom’s spotlight moment. Most photoshoots run for one hour, though especially popular fandoms may be allotted additional time.
On the day of the shoot, please arrive a few minutes early to help things begin smoothly. If you’re in costume and ready to participate, gather with fellow cosplayers off to the side until your group is called forward. If you’re there to take photos, now’s the time to step toward the front and get your camera ready. Be mindful of those around you—sit or kneel in the front rows, and stagger your positions as you stand farther back so everyone has a clear view.

Early each year, an application form opens to all attendees. Anyone may request to host a photoshoot. Choose your fandom, select your preferred day and time, and submit your proposal. Once selections are finalized, chosen hosts receive confirmation and next steps from our team.
If you are selected, congratulations. Take a breath. You have time to prepare. First, designate a backup host in case unforeseen circumstances arise. Then begin spreading the word. Invite friends, connect with community groups, and let fellow fans know when and where to gather. Photoshoots are open to all, and that shared enthusiasm is what makes them special. Before the event, prepare a character call list and decide the order in which individuals or groups will be brought forward. A little structure ensures the energy stays high and everyone gets their moment.
